FAQ

Straight answers, before you commit

Fairlight CPA provides bookkeeping, business tax, payroll, CFO advisory, and U.S.–Canada cross-border tax for businesses and cross-border families. These are the things people want to know before they hire us — laid out plainly. Don’t see yours? A free fifteen-minute call clears it up.

Pricing & billing

What will it cost to work with Fairlight?

Our fees are fixed and agreed before any work starts — no hourly meter, no surprise total. Every service has a clear starting point, and combining a few of them comes out cheaper than buying each on its own. Starting numbers are on our pricing page; for a figure built around your situation, grab a free call.

Are the published prices real, or just estimates?

They’re starting points. Once we’ve had a short call, your exact fee goes in writing — and that’s the number you pay. It only changes if the scope does, and any change is priced and approved before we act on it.

Does bundling into an all-in-one plan save money?

It does. One combined plan costs less than paying for bookkeeping, tax, and advisory separately. We’d rather set a fair price up front than pile on discounts.

Am I locked into a long contract?

No long commitments. Monthly work runs month to month, and you can leave whenever with your accounts fully intact. We earn the next month by being useful, not by tying you down.

What happens if I’m not satisfied with the work?

If something isn’t right, we fix it. We keep clients by doing work worth staying for, not by holding them to a contract.

Services & scope

Do I actually need a CPA, or would a bookkeeper do?

A bookkeeper records what’s already happened; a CPA tells you what to do next and signs your return. We cover both — clean books plus the judgment on top, under one roof.

What types of businesses do you take on?

Owner-run companies of all kinds — trades and service firms, online sellers, agencies, professional practices, and more. If there’s revenue, payroll, or a return involved, we can handle it. We also do personal and cross-border family taxes.

What does CFO advisory really involve?

Senior financial leadership without the full-time salary: a rolling cash forecast, the month’s key numbers, pricing and scenario calls, and a steady hand for the decisions that carry weight.

Can you handle payroll as well?

Yes — we process payroll and file the associated taxes, priced on its own so it never gets lost inside a bundle. Details are on the pricing page.

Will I have to switch accounting software?

No. We work inside whatever you’re already on, like QuickBooks or Xero.

Tax & filings

What does a tax return include?

A federal return plus one state or province, e-filed, prepared and reviewed, with a walkthrough before it goes out. Extras — additional states, K-1s, rentals, cross-border forms — are quoted in advance, never sprung on you.

Can you deal with an IRS or CRA notice?

Yes. We take care of routine notices on returns we filed, and we can review and answer others. If you’re behind or facing an examination, we scope and quote it before starting.

Do you prepare multi-state returns?

Yes. Multi-state and part-year filings come up often, especially with remote teams or a mid-year move. Each added state is a small, pre-quoted add-on.

How do quarterly estimated taxes work?

Once you owe past a threshold, the IRS and CRA want payments throughout the year rather than all at filing. We work out your estimates from actual figures and hand you the vouchers, so there’s no shock bill in April.

Cross-Border Tax (U.S.–Canada)

Can you genuinely handle both U.S. and Canadian taxes?

Yes — it’s the work the firm was built around. The team holds CPA credentials in both the United States and Canada, so both sides of a return are handled together rather than split across two firms that never compare notes.

Is it only cross-border, or do you do regular U.S. work too?

Both. Cross-border is the specialty because so few firms can file both countries together, but the bulk of what we do is everyday bookkeeping, business and personal tax, payroll, and CFO support.

I’m a U.S. citizen in Canada (or a Canadian in the U.S.) — do I file in both countries?

Usually, yes. U.S. citizens and green-card holders generally owe a U.S. return wherever they live, and you’ll typically file where you reside too. We prepare both together so they reconcile, applying the treaty and foreign tax credits so the same income isn’t taxed twice.

Will the same income get taxed twice?

Rarely, when it’s handled properly. The U.S.–Canada treaty and foreign tax credits exist to stop double taxation — the trick is preparing both returns side by side so the credits line up, which is exactly what doing both in one place allows.

What are FBAR, FATCA, and the T1135 — do they apply to me?

They’re disclosures for foreign accounts and assets: FBAR and FATCA (Form 8938) in the U.S., Form T1135 in Canada. If your cross-border accounts or assets clear certain thresholds, one or more can apply. We identify what’s required and file it alongside your return — the penalties for missing them are severe, which is a big reason people find us.

I’m relocating between the U.S. and Canada — is there an exit or departure tax?

Canada charges a departure tax (a deemed disposition) when you leave, and the U.S. has its own entry and exit rules. Timing and elections matter enormously, so a short call — or the $225 Cross-Border Tax Snapshot — maps your specific move before anything is filed.

Which states and provinces can you serve?

All 50 U.S. states and across Canada. We’re remote-first and run everything through a secure portal, so your location makes no difference.

Switching & getting started

How do I move over from my current accountant or bookkeeper?

We run the handoff. After a short call we pull your prior books and returns, reconcile what’s there, and take over the next cycle — most clients are fully onboarded in a week or two with no coverage gap.

Can you help if I’ve fallen behind or filed late?

Yes — catch-up bookkeeping and back-year returns are some of the most common first jobs. We bring you current, clean up what needs it, and keep you on track from there, with scope and price agreed before any work begins.

What do you need from me to start?

Not much: a short call, then access to your prior books and recent returns (we request those) and your accounting login. Everything else gets mapped in a single onboarding checklist, sent once.

How long does onboarding take?

Most clients are live within a week or two — the call, then one secure checklist, then your first close, draft return, or forecast, with no gap in between. More detail on How it works.

How do we kick things off?

Book a free consultation. We’ll tell you honestly what your situation needs and what it doesn’t, then send a fixed-price proposal before any work starts. Nothing is due until after the call.

Security & process

Is my financial information safe?

Everything travels through an encrypted client portal rather than email attachments. Your files and messages sit in one secure place, and only your team can reach them.

What does working together look like day to day?

A free call, then one secure home for your documents and messages. You send each item once; we do the work and respond within one business day. See How it works.

How quickly will I hear back?

Within one business day, all year — not a ticket queue, and not only at tax time.

Question we didn’t cover?

Bring it to a free consultation — fifteen minutes, honest answers.
