This policy explains what information we collect through fairlightaccounting.com, how we use it, and the choices you have. It covers website visitors and prospective clients. Information handled inside a signed client engagement is additionally governed by that engagement's confidentiality terms.
1. Information We Collect
Information you give us. When you submit our contact form, book a consultation, email, or call us, we collect what you provide: typically your name, email address, phone number, company name, and the details of your inquiry.
Information collected automatically. Our website is a static site served through a content delivery network. The hosting infrastructure logs standard technical data — such as IP address, browser type, pages requested, and timestamps — for security and performance purposes. We use Ahrefs Web Analytics for privacy-friendly visit statistics (pages viewed, how visitors arrive, device type); it sets no cookies and is used in aggregate to improve the site. HubSpot, our customer-relationship-management provider, sets cookies to understand site visits and to connect a contact-form submission to a contact record. On our contact page, the booking calendar is provided by Calendly, which may set its own cookies inside the calendar. See our Cookie Policy for details and opt-out options. Our own site code runs no advertising or retargeting trackers. The Calendly booking calendar on our contact page is a third-party tool that may load its own analytics and marketing scripts inside the calendar, under Calendly's privacy policy.
2. How We Use Information
We use the information you provide to respond to your inquiry, schedule and prepare for consultations, deliver and improve our services, send communications you've requested, and meet legal and professional obligations. We do not use your information for third-party advertising.
3. What We Don't Do
We do not sell personal information. We do not rent or trade it. We do not share it with third parties for their own marketing.
4. When We Share Information
We share information only: with service providers who help us operate (such as website hosting, scheduling through Calendly — which receives the details you enter when you book a call — Zoom, which hosts our video consultations and receives the name and email you provide when you book a call, Formspree, which processes the message form on our contact page, HubSpot, our customer-relationship-management provider, which stores contact-form submissions and uses cookies to understand site visits and connect a submission to a contact record, email systems, and Ahrefs Web Analytics for privacy-friendly, cookie-free visit statistics), bound to use it solely for those purposes; when you direct or authorize us to; and when required by law, regulation, or valid legal process.
5. Data Retention
We keep inquiry information as long as needed to handle your inquiry and for reasonable follow-up. Client engagement records are retained per professional and legal record-keeping requirements, then securely disposed of.
6. Your Choices and Rights
You may contact us at any time to access, correct, or request deletion of the personal information we hold about you, or to opt out of follow-up communications. Email hello@fairlightaccounting.com and we will respond within a reasonable time. Deletion requests are honored except where retention is required by law or professional obligation.
7. Visitors and Clients in Canada
We serve clients on both sides of the US–Canada border. For individuals in Canada, we handle personal information consistent with the principles of Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) — collecting it with your knowledge and consent, using it only for the purposes described here, and protecting it with appropriate safeguards. Information you provide to us is processed and stored in the United States.
8. Security
We protect information using encryption in transit (HTTPS across the entire site), access controls, and reputable, security-vetted platforms. See our Security page for more detail. No method of transmission or storage is perfectly secure, but we take the protection of your information seriously and review our practices regularly.
9. Children
Our website and services are directed at businesses and adults. We do not knowingly collect personal information from children under 18, and the site is not designed for them.
10. Third-Party Links
Our site may link to third-party websites (such as software providers or government resources). Their privacy practices are their own; this policy does not cover them.
11. Changes to This Policy
We may update this policy as our practices or the law change. Updates are posted here with a revised date. Material changes will be reflected prominently on this page.
